Help Flow
We help businesses get more done, with Rockstar Specialists supercharged by AI. Using GuideLayer® AI, delegation is seamless and execution is easy. Want proof?
Get more done in sales, marketing, project management, executive assistance, and more. We chat directly with visitors while they browse your store, answer their questions, and help them through the purchase process. We do this for tons of eCommerce stores, and would love to help you. How do we learn your business? This is the most important (and hardest) part of outsourcing live chat, and the hardest. We've focused on this since day 1.
- We know certain questions will be asked based on managing chat for so many stores and address those with you during onboarding.
- We also build a knowledge base about your product and company specific questions. This includes bringing in your own FAQs, helpdesk tickets, interview notes from our onboarding calls, etc. Our onboarding process produces great results, regardless of how well documented your processes are currently.
- After launch, we constantly update the knowledge base based on trends we see, your feedback from chats, your replies to customers for questions we referred, and much more. Awesome visitor experience leads to conversions. By focusing on the visitors experience, we know the conversion rate and revenue increase will take care of itself. We track the impact from live chat for all customers directly within Google Analytics and regularly see 10%+ site wide conversion rate improvements right away. We publish case studies on our website with anonymous data from real customers as proof. If you have an established ecommerce store and want to level up your customer service and conversion results, we can help.

Three things to ask your support team or provider about the last policy you changed:
1. Every saved reply, help article, and email that mentions it. Ask for the date each was last edited.
2. A few recent tickets on it, as they were sent.
3. The transition rule for customers who bought before the change.
Anything edited before the change still says the old thing. If nobody can state that rule, agents are making it up ticket by ticket.

Updating the policy page and telling support changes what your team has heard. What customers hear comes from the saved replies your agents send.
If nobody rewrote those, the old policy keeps going out under your name, in writing. The same goes for help articles, order emails, and any AI assistant that answers from your help content.
Pick the last policy you changed and ask to see every reply that mentions it.

Outsourced your support and ended up managing it anyway?
That's the staffing-agency model. HelpFlow manages the team for you: recruiting, training, QA, and performance against your targets.

Who's answering your customers at 2 AM?
Overnight tickets pile up fast. A managed team keeps every channel covered against one SLA.

Three things to ask your support team or provider for this week:
1. The QA scorecard. What does it check, and are your refund and payment terms rules on it?
2. Which tickets they read. A random sample, plus the risky ones like refunds and escalations?
3. What QA changed last month. Agents coached, macros rewritten, questions sent to you.
If that last list is empty, ask why the score still looks so good.

Your EA is smart, and flying blind.
A to-do list isn't a strategy. Three templates fix that: a Strategic Week Planner, a Delegation Launchpad, and a Quarterly Impact Map. You talk; your EA plans, builds and tracks.

"You need to delegate more." Delegate what?
Sort last week's tasks into a 2x2: strategic vs. tactical, founder-only vs. delegate-ready. Three of the four quadrants can go to an EA. One is your lane: vision, key hires, investor conversations.

You hired an EA to save time. Now you explain everything twice.
It's usually not skill. It's fit. Know your delegation style first (async, verbal, checklist, or sparring partner), then build the EA relationship around how you already lead.
